Workflow in action

Cairnford concept work for a fictional contractor, with illustrative data.

The problem

Your people are the integration layer, and it's costing you.

Someone re-types inquiries into the CRM. Someone else checks three systems to see whether a job is scheduled. Estimates sit a day before anyone sees them. Each step is small. Together they're a full-time job that produces nothing.

Automation isn't about replacing people. It lets the system handle the handoffs so your team can do the work only they can do.

What's included

What $15,000 gets you.

Every project is quoted as a fixed scope. This is what an engagement at the starting price covers. Larger scopes are priced in the proposal.

01

Process mapping

We document the workflow as it really runs today, exceptions included, and agree on what the automated version should do.

02

Integrations

CRM, forms, calendar, accounting, messaging, spreadsheets. We connect what you already use instead of forcing a migration.

03

Error handling and alerts

Every automation logs its runs and tells a person when something fails. No silent failures.

04

Reporting

The data the workflow produces lands somewhere useful: a dashboard, a weekly email, or a sheet your team already opens.

05

Documentation and training

A written guide to how it works and what to do when a tool changes, plus a session for your team.

06

Launch and warranty

A monitored go-live, then 30 days of defect fixes.

Scope boundaries

The starting price covers one core workflow, such as lead intake through scheduling, across up to four tools. More workflows, custom API work for tools without usable integrations, and ongoing monitoring are scoped separately. Tool subscriptions are yours.

Questions buyers ask

Answered before you ask.

Workflow in action in the Lab
What tools can you connect?
Most mainstream business software: HubSpot, Pipedrive, Jobber, ServiceTitan, QuickBooks, Google Workspace, Microsoft 365, Calendly, Twilio, Slack, Airtable, and many more. If a tool has no usable connection, we'll tell you up front.
What happens when one of our tools changes?
Runs are monitored and failures raise an alert. Fixes during the warranty are included. After that, the care plan covers it, or we quote a small fix.
Is this just Zapier?
Sometimes part of it is, when that's the right tool. Often it's custom code, where reliability, volume, or logic demand it. You own the result either way, and the documentation says which is which.
How do we know it's working?
Every run is logged. You see what ran, what it did, and what failed, plus a summary report on the schedule you choose.
